Job Description
Supervisor, Accounts Payable
- Location: Washington, DC (on-site/hybrid)
- Compensation: $80,000-$90,000
- Reports to: Controller
- Direct reports: 2–3 AP Specialists
About the Opportunity
We're a growing, multi-site organization with several business units across the DC metro area, and our finance team is growing with us. We're looking for a hands-on Supervisor of Accounts Payable to own the AP function across all of our entities.
This role is for someone who likes building as much as running. You'll lead a small, capable team, tighten processes as we scale, and act as the go-to AP expert for operations leaders, vendors, and the accounting team. Your work will directly shape how efficiently the business runs and how much visibility leadership has into spend.
Responsibilities:
- Supervise, coach, and develop a team of 2–3 AP professionals, including setting priorities, balancing workloads, and running performance check-ins
- Work alongside the team on processing when volume calls for it
- Manage the full procure-to-pay cycle for all business units and sites: invoice intake, coding, approvals, 2- and 3-way matching, and payment runs (ACH, wire, check, card)
- Keep entity coding, intercompany activity, and cost allocations accurate across locations
- Own vendor master data, including onboarding, W-9 collection, banking changes, and fraud-prevention controls
- Manage 1099 reporting and year-end AP requirements
- Run AP's part of the month-end close: accruals, AP subledger-to-GL reconciliations, and aging reviews
- Maintain internal controls, approval workflows, and documentation, and support external audits
- Monitor cash requirements and coordinate payment timing with the Controller
- Find and carry out process improvements, automation, and system enhancements so AP scales as the company adds sites and entities
- Build and maintain clear AP policies and procedures
- Serve as the main contact for vendor inquiries and internal stakeholders, resolving issues quickly and professionally
Required Qualifications:
- 3–5 years of experience leading AP operations in a hands-on supervisory or lead role
- A strong grasp of AP best practices, internal controls, accruals, and month-end close
- Bachelor's degree in Accounting, Finance, or a related field
- Experience managing AP across multiple entities, locations, or business units
- Hands-on experience with Sage Intacct, NetSuite, Microsoft Dynamics GP, or a comparable accounting system
- Experience with AP automation tools (e.g., Bill.com, Ottimate, AvidXchange, Tipalti)
- Advanced Excel skills (VLOOKUPs, pivot tables, reconciliations)
- Excellent attention to detail, organization, and follow-through in a fast-paced environment
- Clear, confident communication with team members, vendors, and leadership
- Experience helping a company through a period of growth, acquisitions, or a system implementation
