Position Overview
The Bookkeeper Specialist will be responsible for managing the company's day-to-day bookkeeping and accounting activities, with a particular focus on construction project finances and job costing.
This position will handle accounts payable and receivable, invoice and payment processing, payroll support, account reconciliations, job-cost tracking, project expense monitoring, and financial reporting. The Bookkeeper Specialist will work closely with project managers, vendors, subcontractors, customers, and company leadership to ensure financial records are accurate and projects remain financially on track.
Construction industry and job-costing experience are strongly preferred.
Key Responsibilities
- Manage day-to-day bookkeeping and accounting transactions
- Process and maintain accounts payable and accounts receivable
- Enter, review, and verify financial transactions for accuracy
- Process invoices, payments, and vendor bills
- Communicate professionally with customers, vendors, and subcontractors regarding invoices, payments, and account discrepancies
- Reconcile bank and financial accounts on a regular basis
- Track project costs, expenses, and job profitability
- Monitor project budgets and identify discrepancies or potential cost overruns
- Assist with payroll processing and related administrative activities
- Prepare financial reports, statements, and other accounting summaries
- Maintain accurate and organized financial records
- Review transactions and supporting documentation for accuracy and completeness
- Assist management with financial analysis, budgeting, and reporting
- Maintain compliance with applicable accounting practices, company policies, and regulations
- Stay current with relevant bookkeeping, accounting, and construction industry practices
- Work closely with project managers and leadership to support accurate project financial reporting
- Assist with general administrative, HR, or management-related responsibilities as needed
Qualifications
- Previous experience as a Bookkeeper, Accounting Specialist, Accountant, or similar role
- Bachelor's degree in Accounting, Finance, Business, or a related field preferred
- Experience with construction accounting and job costing strongly preferred
- Working knowledge of GAAP and general accounting principles
- Proficiency with QuickBooks, Microsoft Excel, Buildertrend, and other accounting or financial management systems
- Strong understanding of accounts payable, accounts receivable, reconciliations, and financial reporting
- Strong mathematical and analytical skills
- Excellent attention to detail and accuracy
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Professional and positive attitude with a strong commitment to teamwork
- Bilingual English/Spanish is a plus
- Previous management or HR experience is a strong plus
