Job Description
Job Title: Editor III
Location: Mettawa, IL 60045
Work Model: Hybrid (3 days on-site: Tuesday–Thursday; 2 days remote)
Employment Type: Full-Time (Contract – 2 Years) (Note: Part-time candidates will not be considered)
Position Overview:
We are seeking a highly meticulous, proactive, and collaborative Editor III to join the Marketing Operations team. This role serves as the final quality checkpoint before publication, ensuring accuracy, consistency, grammatical precision, and adherence to strict guidelines across medical education, healthcare provider communications, and commercial assets.
This position focuses strictly on substantive editing, proofreading, and medical fact-checking rather than copywriting. The ideal candidate thrives in a high-volume, fast-paced environment, demonstrates deep expertise in AMA style, and possesses the ability to pivot priorities when urgent requests arise. Overqualified candidates and professionals with extensive tenure are strongly encouraged to apply.
Key Responsibilities:
- Editorial Review & Quality Control: Perform rigorous copyediting, proofreading, and medical fact-checking on short-form and long-form assets (ranging from quick-turn collateral to comprehensive 200–500-page websites). Serve as the final gatekeeper to catch overlooked errors before deployment.
- Review & Approval Management: Manage the end-to-end review and approval workflows for promotional, non-promotional, and internal materials in accordance with SOPs and routing grids.
- Cross-Functional Collaboration & PRC Meetings: Attend weekly Promotional Review Committee (PRC) meetings to articulate editorial rationales and provide constructive feedback. Partner closely with medical reviewers, regulatory reviewers, project managers (PMs), and marketing operations leads.
- Regulatory & Ad Promo Support: Support FDA/OPDP promotional submissions, including preparation of Form 2253, cover letters, and source package coordination for Regulatory Operations. Archive OPDP correspondence per regulatory lead guidance.
- Workflow & Process Maintenance: Maintain electronic review/approval workflows, track permissions/routing, and contribute to standard operating procedures (SOPs) and departmental work instructions.
- Team Agility & Coverage: Actively step in to balance team workload during peak launch cycles, label updates, or colleague out-of-office periods. Seek out secondary tasks during operational downtimes.
- AI Content Verification: Fact-check and edit generated/automated drafts as needed, resolving discrepancies, hallucinations, or formatting errors.
Qualifications & Requirements:
Education & Experience:
- Education: Bachelor’s degree in English, Journalism, Communications, Life Sciences, or a related technical/scientific discipline required.
- Experience: Minimum 3+ years of dedicated professional proofreading and editing experience within the medical, healthcare, or life sciences industry (pharmaceutical experience is beneficial, but broad healthcare/medical experience is fully accepted).
- Experience handling technical, data-heavy, or claims/forms-focused medical documentation.
Core Competencies & Technical Skills:
- Style Mastery: In-depth, expert-level knowledge of AMA Manual of Style. Editorial decisions must be consistently grounded in AMA guidelines.
- Editorial Precision: Exceptional grasp of English grammar, syntax, reading comprehension, and fact-checking methodologies.
- Adaptability & High-Volume Delivery: Proven ability to manage strict deadlines, work under pressure, and quickly pivot focus when high-priority or expedited assignments come in.
- Communication & Articulation: Strong verbal and written communication skills; ability to confidently explain editorial corrections and collaborate with cross-functional stakeholders.
- Systems / Tools (Preferred): Familiarity with life sciences review systems such as Veeva PromoMats and automated comparison tools such as DocuProof is a strong plus (not strictly mandatory).
Candidate Profile & Cultural Fit:
- Collaborative & Supportive: Thrives in a team-first environment where members back each other up during heavy workloads or absences.
- Solution-Oriented: Proactive attitude toward continuous process improvement and self-management.
- Detail-Driven: Uncompromising eye for detail while maintaining an understanding of commercial and regulatory context.
